We are excited to announce that we are looking for a   Part Time,   Procedure Scheduler   at   Windsor Center for Digestive Disease - Dr. The Procedure Scheduler plays a critical role in the healthcare environment by coordinating and managing the scheduling of medical procedures to ensure optimal utilization of resources and timely patient care. This position requires meticulous attention to detail to accurately schedule procedures while considering patient needs, physician availability, and facility capacity. The Procedure Scheduler acts as a liaison between patients, healthcare providers, and administrative staff to facilitate smooth communication and efficient workflow. By managing appointment calendars and resolving scheduling conflicts, this role directly contributes to enhancing patient satisfaction and operational efficiency. Ultimately, the Procedure Scheduler supports the healthcare team in delivering high-quality care by ensuring that all procedural appointments are organized and executed seamlessly. Manages all non-clinical and non-procedure patient communication, including appointments, cancellations , insurance authorizations for medications and imaging, referrals appointments, and confirming patient procedure and E&M appointments in advance while allowing clinical staff to focus on direct patient care. The Procedure Scheduler utilizes strong organizational and time management skills daily to coordinate complex appointment schedules efficiently. Effective communication skills are essential for interacting with patients to provide clear instructions and for collaborating with medical staff to resolve scheduling conflicts. Proficiency with electronic health record systems and scheduling software enables accurate data entry and real-time updates to procedure calendars. Problem-solving skills are applied to manage last-minute changes, cancellations, and rescheduling while minimizing disruption to patient care. Additionally, attention to detail ensures compliance with healthcare regulations and maintains the integrity of patient information throughout the scheduling process.

What you'll bring

  • High school diploma or equivalent required
  • Previous experience in medical scheduling, patient coordination, or a related healthcare administrative role.
  • Familiarity with electronic health record (EHR) systems and scheduling software.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent communication skills, both verbal and written, to interact professionally with patients and healthcare staff.
  • Certification in medical office administration or healthcare scheduling (e.g., Certified Medical Administrative Assistant).
  • Experience working in a hospital, outpatient clinic, or specialized medical practice setting.
  • Knowledge of medical terminology and healthcare procedures relevant to the specialty area.
  • Proficiency with advanced scheduling tools and data management software.
  • Demonstrated ability to handle sensitive patient information with confidentiality and discretion.
