About the role
Citadel CPM is seeking a highly organized and motivated entry level Marketing & Proposal Assistant to support proposal development, business development, marketing initiatives, CRM management, and content administration. Reporting to the Marketing & Proposal Operations Manager, this role plays a key part in maintaining proposal readiness, supporting pursuit activities, and helping strengthen the Citadel CPM brand throughout Southern California. We're looking for someone with at least 1 year of work experience, preferably in the marketing department within the Architecture/Engineering/Construction (AEC) industry who can coordinate the end-to-end proposal process.

- Support the maintenance of resumes, project sheets, boilerplate content, forms, and proposal templates.
- Assist with Deltek Vantagepoint CRM data entry, opportunity tracking, pipeline reports, and pursuit documentation.
- Support prequalification and RFQ/RFP pursuits including scheduling, document assembly, compliance reviews, proofreading, formatting, printing, and electronic submissions.
- Coordinate proposal reviews, interview preparation materials, and presentation logistics.
- Support website updates, social media posts, newsletter content, project highlights, and award submissions.
- Maintain organized digital filing systems, SharePoint resources, and marketing archives.
- Assist with data collection, market research, competitor tracking, and client intelligence gathering.
- Collaborate with project managers and technical staff to collect project information and marketing content.
- At least 1 year of work experience in marketing
- Strong writing, editing, proofreading, and organizational skills.
